Introduction Your TapMemo uses a combination of voice recognition technology and a single “TapKey” button, with a small number of features utilising two “Volume” buttons. The main functions include a MEMO PAD for storing notes, a PHONE BOOK with built in tone dialler, a CALENDAR with appointment book and alarms and an ALARM CLOCK. Also included are a Password Protection Lock, Battery and Memory meters and a Locator function. With the TapMemo held in the palm of your hand and the belt clip facing away you will feel a large indentation on the front face. This is the speaker. If you rotate the device until you have three protrusions at the top then you will be able to find the following:- Microphone - small indentation to the left of the speaker. Volume buttons - on the front face below the speaker. TapKey - the central protrusion on the top edge. Earphone socket - the left protrusion on the top edge. Charging socket - the right protrusion on the top edge. There is no particularly correct way to hold the device but most people find it easiest to hold in their palm with their thumb or index finger over the TapKey and about two inches away from their mouth when talking to it. (You will need to experiment to find the optimum distance). The TapMemo uses two tones to let you know what state it is currently in. A single “Go” tone indicates that it is waiting for a spoken command from you. Two tones indicates “No Go” and that it is turning off and will not respond to your voice. Whatever you are doing, if you have heard the “Go” tone but can’t remember what to say next, just say “What can I say?” and you will hear a list of all the available commands. Once you have heard the command you need you can stop the reading by pressing the TapKey - the TapMemo will then listen for you to speak the command. The volume buttons can be used to alter the spoken volume at any time, even when the unit is turned off. Once you reach minimum or maximum volume you will hear the “No Go” tones and no further change will be made. In order to obtain good voice recognition results you should observe the following: 1. Try to keep the background noise as low as possible, especially when entering a new name, memo or appointment. If these are entered with background noise then the TapMemo will not be able to find them when you need to search for them later. 2. Speak clearly and naturally and in a normal voice. 3. Make entries as different from each other as possible to make it easier for the TapMemo to tell them apart when you search for them later i.e. “John” and “Jim” are close but “John Smith” and “Jim Henderson” are distinct. This only applies to entries in the same set so, for example, you could have an identical name in one memo and one appointment but two memo names must be distinct. If you plug the earphone into its socket the speaker will be muted. Doing so also has the advantage of substantially increasing the time between battery re-charges. System Setup Setting the Clock: Press the TapKey. You will hear the “Go” tone. Say “System Setup”. You will hear “System Setup” repeated to confirm that you are now in the setup menu. You will then hear the “Go” tone again. Say “Set clock” and follow the verbal instructions. You use the TapKey to set the time and date. Each time you reach the correct digit just pause and you will be taken to the next item. Battery Power: Go to the “System Setup” menu as for setting the clock above then say “Battery Level”. Memory Meter: Go to the “System Setup” menu then say “Memory Status”. Memory is shared across all the applications so, for example, a large number of memos would limit the number of appointments you could have. In order to conserve memory you should erase old memos and phone book entries. TapMemo will automatically erase appointments twenty four hours after they have passed. Unit Locator: This feature is designed to help you find your TapMemo if you have misplaced it. Go to the “System Setup” menu then say “Unit Locator”. When asked if you want to turn this on respond with “Yes”. From now on if it hears you whistle it will turn itself on and say “TapMemo unit locator” as loud as it can. To turn this function off again just go to the “System Setup” menu and say “Unit locator”. Respond with “Yes” when asked if you want to turn it off. Alarm Clock: Go to the “System Setup” menu then say “Set wake up time” and follow the verbal instructions. The alarm will now sound at the same time every day until you turn it off using the “Wake up” command from the main menu - explained later. The alarm will sound for one minute at an increasing volume until you stop it by pressing the TapKey. Locking: Your unit can be locked using a three digit password. When you receive it the password will be 555 (five five five). Using the feature is explained later but if you wish to change the code you do so by going to the “System Setup” menu and saying “Unlock Code”. Follow the spoken instructions - you say the code one digit at a time, pausing after each digit until you hear the “Go” tone. We strongly recommend that you write the code down somewhere because if you can’t unlock the TapMemo in the future you will have to either erase all your data or return the unit to us to unlock it again. Dialling Volume: Go to the “System Setup” menu and say “Technician mode” . You change the volume by speaking the required digit. Operation - Main Menu Finding the time: Press the TapKey and wait for the “Go” tone. Say “Tell time”. Finding the date: Press the TapKey, wait for the “Go” tone and say “What is the date?”. Turning the alarm clock On/Off: Press the TapKey, wait for the “Go” tone and say “Wake up mode”. Follow the spoken instructions. Locking/Unlocking the unit: Press the TapKey, wait for the “Go” tone and say “Lock unit”. You will be asked to confirm. Say “Yes”. The unit is now locked. In order to unlock it press the TapKey. You will be asked to enter your code digit by digit. If you make a mistake there is no limit to the number of times you can re-try. Phone Book: You can store up to 60 names, each with a single phone number and an optional seven second message such as an address. To enter the Phone Book press the TapKey, wait for the “Go” tone and say “Phone book”. This will be repeated to confirm you are now in the Phone Book and you will hear the “Go” tone. To add a new name, enter the Phone Book then say “Add new”. You will be asked for the name and you will be asked to repeat it. You will then be asked for the phone number. Speak this digit by digit. The TapMemo will respond to each digit in one of three ways:-it will read it back correctly, read it back incorrectly or say “What did you say?” to indicate that it couldn’t understand the word. If it says “What did you say?” - try again. Once it has failed to recognise a digit four times it will ask you to press the TapKey until you hear the correct one. After a pause it will speak the digit and you then continue as before. If the digit was read back correctly carry on with the next one. If it was read back incorrectly then press one of the Volume buttons to re-enter the digit. If you have to do this four times you will be given the option of entering it with the TapKey as above. When complete either pause or press the TapKey. The whole number will be read back and you will be asked to confirm that it is correct. You will then be asked to attach any information you wish, such as an address, to the name. Once complete press the TapKey. The name, number and message will be saved and you will be asked for the next name. If you do not wish to make any more entries just press the TapKey. To search for a name, enter the Phone Book then say “Search” and, when prompted, say the name. If found the name, telephone number and message will be spoken. You will then be asked if you would like the unit to dial the number for you. If you respond with “Yes” hold the TapMemo about 2 inches away from the telephone mouthpiece. It will count down for three seconds then send the dial tones to dial the number. You will then be asked again if you would like to dial the number. You can continue re-dialling the number in this way, trying various distances from the mouthpiece, until you establish the optimum position. If you find that you cannot get the device to dial a number correctly you can try altering the DTMF volume under the “System Setup” menu as described earlier. To delete an entry, enter the Phone Book then say “Delete”. When asked say the name. If found the name will be spoken and you will be asked to confirm before the entry is deleted. To delete all entries, enter the Phone Book then say “Clear all entries”. You will be asked for confirmation before all the entries are deleted. To play back all entries, enter the Phone Book then say “Entries playback”. The TapMemo will start speaking all the stored names. To skip the name being read out press the volume up button, to go to a previous name press volume down. If you press the TapKey while a name is being spoken you will be asked if you wish to play or delete the entry. Say “Delete” to delete the entry or “Play” to hear the details. If you say nothing or press the TapKey the unit will sound the “No Go” tones and turn off. If you play or delete an entry it will continue with the overall list playback. Memo Pad: You can store up to 30 memos, each up to 60 seconds long. To enter the Memo Pad press the TapKey, wait for the “Go” tone and say “Memo”. This will be repeated to confirm you are now in the Memo Pad and you will hear the “Go” tone. To add a new memo, enter the Memo Pad then say “Add new”. You will be asked for a name for the memo and you will be asked to repeat it. You will then be asked to record your memo. If you wish to end the recording before the 60 seconds limit just press the TapKey. To search for a memo, enter the Memo Pad then say “Search” and, when prompted, say the name of the memo. If found the name and memo will be played back. If you wish to cut short the playback just press the TapKey. To delete a memo, enter the Memo Pad then say “Delete”. When asked say the name of the memo. If found the name will be spoken and you will be asked to confirm before the memo is deleted. To delete all memos, enter the Memo Pad then say “Clear all entries”. You will be asked for confirmation before all the memos are deleted. To play back all memos, enter the Memo Pad then say “Entries playback”. The TapMemo will start speaking all the stored memo names. To skip to the next memo press the volume up button, to go to a previous memo press volume down. If you press the TapKey while a name is being spoken you will be asked if you wish to play or delete the memo. Say “Delete” to delete the entry or “Play” to hear the memo itself. If you say nothing or press the TapKey the unit will sound the “No Go” tones and turn off. If you play or delete a memo it will continue with the overall list playback. Calendar: You can store up to 30 appointments. Each appointment is associated with a message of up to seven seconds. You can also set an optional time ahead of the appointment when you would like to be reminded of it. Once a reminder date and time is reached the appointment name will be spoken and you will be told when the appointment will occur. Once the actual appointment date and time is reached the TapMemo will play back the appointment’s name and, if recorded, the associated message. 24 hours after an appointment it will be automatically erased to conserve memory. To enter the Calendar press the TapKey, wait for the “Go” tone and say “Calendar”. This will be repeated to confirm you are now in the Calendar and you will hear the “Go” tone. To add a new appointment, enter the Calendar then say “Add new”. You will be asked for a name for the appointment and you will be asked to repeat it. You will then be asked to record your message. If you wish to stop recording before the seven second limit just press the TapKey. Follow the spoken instructions to enter the date and time for the appointment using the TapKey in a similar way to setting the clock as explained earlier. You will then be asked to set the reminder time - this is the time before the appointment when you would like to be reminded of it. This can be set to “Off” if not required. To search for an appointment, enter the Calendar then say “Search” and, when prompted, say the name of the appointment. If found the name, appointment, due date and time will be played back. To delete an appointment, enter the Calendar then say “Delete”. When asked say the name of the appointment. If found the name will be spoken and you will be asked to confirm before the appointment is deleted. To delete all appointments, enter the Calendar then say “Clear all entries”. You will be asked for confirmation before all the appointments are deleted. To play back all appointments, enter the Calendar then say “Entries playback”. The TapMemo will start speaking all the stored appointment names in chronological order, each with its date and time. To skip to the next appointment press the volume up button, to go to a previous appointment press volume down. If you press the TapKey while a name is being spoken you will be asked if you wish to play or delete the appointment. Say “Delete” to delete the entry or “Play” to hear the appointment details. If you say nothing or press the TapKey the unit will sound the “No Go” tones and turn off. If you play or delete an appointment it will continue with the overall list playback. Charging the TapMemo: The internal Lithium-Ion battery can be recharged at any time without damage; it is not necessary to fully discharge it first. Plug the charger into a wall socket and into the charger socket on the Tap Memo (to the right of the TapKey). You will hear “Charging battery” just once to confirm correct connection. A full charge takes about four hours. Once the device is fully charged it will say “Charge complete” once a minute until it is disconnected. In order to maximise the life of the internal battery keep the unit out of direct sunlight and away from excessive heat. Lowering the speaker volume and/or using the earphone will increase the period between re-charges. If not used for an extended period ensure that you charge it about once every two months. Frequently asked questions: Question: When I press the TapKey I do not hear anything. Answer:: The battery is probably fully discharged. If re-charging does not solve the problem please contact us. Question: While using the unit the volume does not seem to be as loud as when it was fully charged. Is this normal? Answer: Yes. It has a built in mechanism that reduces the maximum volume allowed when the battery level runs low in order to prolong the battery life. Simply re-charge. Question: If I hold the TapKey down for more than a second it goes straight into adding a new memo mode. Is this normal? Answer: Yes. This shortcut is there to enable you to go instantly into recording a memo. Question: What happens if I lock the unit and forget the password? Answer: You have two choices. If you need to keep your data you will have to return the unit to us for unlocking. The second option is for you to perform a hard reset which will unlock it but will also erase all your data and reset everything to the factory defaults. To do this press and hold the TapKey. While holding it down insert a paper clip or similar into the small hole on the back of the case, just below the belt clip. Remove the paper clip then release the TapKey. The unit will now unlock and speak its code version. Question: Why can’t I enter the maximum number of phone book, memo and appointment entries? Answer: The TapMemo’s memory is full. It is shared between all the applications so you will need to delete any unnecessary entries. Generally memos, being the longest, take up most memory.
